Standard terms and conditions for events

Faversham House Limited (“we”) accept bookings from delegates (“you”) for places at the awards on the following terms and conditions.

Accommodation
1. Accommodation is not included in the delegate fee. For more information please contact the event management team.
Access and dietary requirements
2. If you have any specific access or dietary requirements please contact the event management team.

Confirmation
3.1 Once we have received confirmation of your booking, we will send you an email confirmation. A VAT invoice will be sent out to you shortly after.
3.2 We must receive payment prior to the event date. If you have not received confirmation of your booking within 14 days of the event, please contact the Event management team as we may not have received your booking. We cannot be held responsible for the non-arrival of information.
3.3 Whilst in attendance at the event, if we reasonably consider that your behaviour is inappropriate, disruptive, offensive, dangerous or illegal, we may ban you from further participation in the event without a refund.
3.4 Your full name, job title and company will be included in the delegate guide which is given to all attendees. If you do not wish for your details to be in the guide please contact the event manager once booked for the conference.

Discounts
Discount codes must be applied at the time of booking and cannot be applied once the booking has been processed. Only one type of discount can be used per booking.

Cancellation
4.1 Payment for the event must be received before the events date.
4.2 Cancellations must be made in writing to the address below. Cancellations received up to one calendar month prior to the event date will be subject to a handling and administration charge of £75 + VAT per delegate, which will be deducted from any due refund or invoice, whichever is appropriate.
4.3 The organizers regret that cancellations are not accepted less than one month prior to the date of the event. However, a substitute delegate can be nominated. Substitutions made on the day of the event are at our discretion only.
4.4 We reserve the right to make changes to the programme, location and/or speakers without prior notice.
4.5 We will not offer refunds to delegates due to circumstances affecting the event, or your ability to attend it, which are outside our control (for example, but not limited to, a terrorist alert or incident) unless the event is cancelled or rescheduled for another date, in which case we will retain up to 50% of the delegate fee to cover marketing, administration and delegate registration costs.

Liability
5.1 Any opinions expressed or statements made by speakers or delegates at the event are in their personal capacities and are not made or expressed on our behalf.
5.2 Except in the case of death or personal injury caused by our negligence or that of persons for whose acts or omissions we are legally liable, we will not be liable to you for any loss or damage of any kind, whether direct, indirect or consequential, which you may suffer at or in relation to the event, and our aggregate liability to you will in any case be limited to the amount you have paid to us.

Privacy
Your details are collected by this event’s organiser, Faversham House Ltd, to process your purchase, deliver our events and communicate to you as a customer of our services. This will include notice for the next year of this event and the promotion of similar products and services by post, email and/or phone. We will only send information that we think is relevant to you and you can unsubscribe at any time. Network Awards 2019 Entries

The entry process
Please make sure you carefully read the description of the category you wish to enter by visiting the categories and criteria page on the website before submitting your entry. You may also wish to read the judges guidance page before submitting your entry. Complete your chosen entry form and submit it online along with any supporting documents and appendices you wish to include, as well as your company logo. Make sure you keep to the word limit specified for each category entry. Appendices are excluded from this count. We recommend completing your entry in a word document prior to entering online.

All entries must be received by Friday 30 November 2018. If you have not received confirmation of receipt of your entry by Friday 30 November 2018 please contact Ria Beal at riabeal@fav-house.com

By submitting an entry you agree to be available to attend the awards on Tuesday 26 March 2019 at the Hilton Birmingham Metropole, Birmingham. Please note that additional charges apply to attend and the entry fee does not include admission to the awards.

Payment for entries
By submitting an entry to the awards, you agree to pay the entry cost, which is calculated per entry. Payment for all entries must be received by Friday 7 December 2018. You may pay for your entry online via card payment when you submit your entry, or upon invoice by selecting the invoice option when submitting your entry. Invoice payments must be received by Faversham House Ltd within 30 days of the invoice date or by close of business on Friday 7 December 2018, which ever is the earlier.

Judging
Judging takes place throughout December and January and you will be notified via email as to whether your entry has been successful or not in January 2019. Judging is conducted as a panel and no one person is responsible for deciding the winner of each category. The judges’ decision is final and cannot be disputed.

Network Awards 2019 Table Bookings

Table Bookings Payment
You can pay for your table or multiple places online via card payment when completing your booking, or upon invoice by selecting the invoice option when completing your booking online. Invoice payments must be received by Faversham House Ltd within 30 days of the invoice date or by close of business 5 working days before the event, whichever is the earlier. Please note discount codes are not available on tables or individual places. This includes all early booking rates and promotional offers.

Special requirements
A form will be included with your invitations requesting this information. Simply complete and return to the registration contact as detailed on the form. This form must be returned to us by Friday 8 March 2019, otherwise charges may apply and guests’ requirements may not be met.

Lighting and special effects
It is the table booking party’s responsibility to inform their guest(s) that special effects, including strobe lighting, may be used on the night.

Alterations
It may be necessary for Faversham House to alter the venue and/or the date of this event for reasons beyond our control. We will endeavour to give you as much notice as possible and, where possible, transfer your booking to the new venue and/or date.

Cancellations
Cancellations must be made in writing (email is acceptable) to the registration contact. Cancellations received before Friday 15 February 2019 will be refunded, less an administrative charge of £75+VAT. Cancellations received on or after Friday 15 February 2019 will not be refunded. Faversham House reserves the right to cancel this function. In the event of cancellation Faversham House will refund all booking fees in full. Faversham House will not accept liability for travel, accommodation or any other expenses incurred as a result of any cancellation or postponement of the event. Our liability for loss or damage incurred as the result of cancellation or postponement of the event is limited to the amount of your booking fee. These terms and conditions are governed by English law. The courts of England and Wales will have exclusive jurisdiction over any dispute. All tickets include a sparkling wine reception, four-course meal and table wine.

Faversham House Event Code of Conduct

Faversham House, (the Organiser) is dedicated to providing a positive, harassment-free event experience for all participants and staff, regardless of gender, gender identity and expression, sexual orientation, disability, physical appearance, race, age or religion. The Organiser does not tolerate harassment of any kind towards event participants or its staff.

ANTI-HARASSMENT

The use of harassing language and imagery (including of a sexualised nature) is not appropriate at any event or related social activity sponsored or organised by the Organiser. Any event participant, including exhibitors and exhibitor staff, found to be violating this policy may be sanctioned or expelled without a refund at the Organiser’s sole discretion.

Examples of harassment include, though are not limited to:

(i) Verbal comments or actions related to gender, gender identity and expression, sexual orientation, disability, physical appearance, race, age, or religion
(ii) Use of sexual images in public spaces
(iii) Deliberate intimidation, stalking or following
(iv) Unauthorised photography or recording
(v) Use of sexualised or harassing content in presentations
(vi) Inappropriate physical contact
(vii) Unwelcome sexual attention
(viii) Advocating for or encouraging any of the above behaviour

If at any time you are made to feel unsafe or unwelcome at a Faversham House event, or witness this behaviour towards others, please report it as soon as possible to the Organisers. Reports can be made either personally onsite to Faversham House staff or emailed to amanda.barnes@fav-house.com. Regardless of the reporting method, the name and/or company reporting a harassment incident will be held in the strictest of confidence. Onsite staff have been briefed to escalate incidents immediately.

DRESS CODE AT THE EVENT

All staff on exhibition stands are expected to dress with business and/or business casual attire. As a rule of thumb, exhibitors should ensure the attire of all staff they have on or around their stand (whether the exhibitor’s direct employees or their contractors) would be considered appropriate in a professional environment. In recognition of the many cultures and nationalities present at the events, attire of an overly revealing or suggestive nature is not permitted. Examples of such attire may include, though are not restricted to:

(i) Tops displaying excessive cleavage
(ii) Tank tops, halter tops, camisole tops or tube tops
(iii) Miniskirts or minidresses
(iv) Shorts
(v) Second-skin bodysuits

These guidelines are applicable to all stand staff, regardless of gender, and will be strictly enforced. The Organiser reserves the right to request individual exhibition staff change their attire or leave the premises immediately if their appearance is perceived, in the sole opinion of the Organiser, to be offensive to other exhibitors or participants.

ADULT CONTENT

The Organiser shall be entitled to close a stand during build-up or exhibition open period if the exhibitor or sponsor, in the opinion of the Organiser, is displaying materials of an offensive nature. The Organiser reserves the right to clear out a stand and the exhibitor will bear any costs that may arise.

ENFORCEMENT

Event participants who are asked to cease harassing behaviour are expected to comply immediately. If a participant or group engages in harassing behaviour, the Organiser retains the right to take any actions to maintain a positive event environment for all participants and staff. This includes expulsion of the offender from the event with no refund.
